Student Worker Policy
Schedule:
- Your work schedule is an agreement between you and KEDM.
- When you are scheduled to work, you are expected to report on time.
- Do not make schedule changes without approval of your supervisor.
- Call your supervisor when you are unable to work as scheduled. Speak directly with your supervisor. Time off for whatever reason is allowable but please ask for permission. Not appearing for scheduled hours without prior notice will result in a less than satisfactory evaluation.
- Always provide as much notice as possible if you are ill and not able to work.
- Study time is not a normal part of your campus job. When you are clocked in, you are expected to do tasks assigned to you by your supervisor. Studying is permitted only when you have finished all the tasks assigned to you, and you have checked with your supervisor to see what else they have for you.
- Each pay period, you must submit your electronic time sheet in order to be paid. Complete your electronic time sheet in by 4 p.m. on Thursday in the last week of the pay period.
- Student time is recorded on the quarter-hour system. You may record time for an hour even if you leave at 10 minutes before the hour to get to class on time IF you also come to work directly from class to help balance the time. If this becomes a problem, you will be required to arrive early in order to leave early.
- You are rated each pay period by your supervisor on the quality of your work; regarding attitude, accuracy, completeness, attendance, etc. This rating becomes a part of your permanent student work record. This job is also training and experience for future employment outside the University.
Appearance:
- The purpose of appearance requirements is to contribute to a positive image of KEDM and ULM. Please remember that this is a business, not gym, class, hanging out with friends, or any other casual event you attend.
- Please dress appropriately for work in a business environment. Business casual attire is expected, such as khakis or twill pants and a logo polo-type shirt of other types of collared shirt or sweater (for men) or blouse, dressy tee, or sweater and dress Capri pants (for women). For women, this may include an appropriate-length (fingertip length or longer) dress or appropriate-length (fingertip length or longer) skirt. Yoga or other exercise-style pants are permitted only when conservatively colored and when worn with a dress, skirt, long shirt or sweatshirt (again, fingertip length or longer).
- ULM-affiliated sweatshirts and T-shirts may be worn, and should be clean and selected with professional appearance in mind. Jeans may be worn as long as there are no holes, frays or tears. Undergarments should not be visible at all. Dress sandals (for women) are acceptable.
- Clothing that contains profanity or offensive speech or logos is inappropriate for the workplace.
- Shorts, sweatpants or exercise attire, tank tops, flip flops, casual sandals, clogs, hats, sheer clothing or clothing that is excessively revealing (including exposed shoulders or midriff) are not permitted.
- Keep earrings small or moderately sized. No more than two piercings per ear. Small ear gauges are allowed (less than ¼”). A small ( less than 1/8")nose stud is allowed. No nose septum piercings or nose rings are allowed. No other pierced jewelry, tongue studs or rings, or body adornments are allowed.
- Caps, hats, hoods, nylon head wraps or other headgear are prohibited.
- Please follow all reasonable personal grooming standards, including regular bathing and use of deodorant.
- Certain dress standards may be reflective of an individual’s religious beliefs. Reasonable accommodations will be provided as needed.
- You are expected to follow these standards during the work day. If you come to work inappropriately dressed or with unacceptable appearance, you may not be permitted to start your shift until you have changed into something more appropriate.
- No dress policy can cover all contingencies, so student workers must exert a certain amount of judgment in their choice of clothing to wear to work. If you experience uncertainty about acceptable attire for work, please ask your supervisor.
- Failure to adhere to these standards will result in a verbal warning. The second offense will be written up and kept on file at KEDM. More than two offenses may result in separation from employment.
Printing
- KEDM printers are for official KEDM business only. Printing for personal reasons may be allowed only in cases of extreme emergency, and only with the express permission of a manager.
- Your student fees pay for printers, paper, and toner in computer labs throughout campus (https://www.ulm.edu/it/labs.html). Please use them.
When you arrive:
- Note the time you arrive, rounded to the nearest 15 minute increment.
- Go to each manager’s office, let him or her know you are here, and ask if there is anything you can take care of today.
Office Staff:
- Check and replenish paper in the copy machine. Paper is under the copy machine or in the storage closet.
- Check the front desk voice mail, and pass any messages to the appropriate manager.
- Check the first bay, right bottom shelf in the music library for CD’s that need to be filed. CD’s are filed by label number, usually at the bottom of the spine.
At the front desk:
- Answer the phone when it rings. Smile and speak clearly: “90.3 KEDM, this is ______, may I help you?”
- Anyone asking for a manager by name should be asked, “May I tell him (/her) who’s calling?” When transferring the call, wait for the manager to pick up, then tell him who is calling before completing the transfer. Training on how to use the telephone system will be provided.
- Anytime anyone comes through the front door, turn towards them, make eye contact, smile, and greet them pleasantly.
- Anytime any visitor leaves, smile and say, “Thank you!”
- Keep the front desk work are clean and tidy, including storing any bags, backpacks, or purses under the desk. This is the first impression that visitor and passers-by of KEDM.
- Front desk workers may wear one (1) earbud only, when it is worn in the ear away from the window or entry door.
Lunch:
- Students should eat lunch before they come to work or after they leave. If you must eat lunch during your shift, you will need to sign out on your time sheet. We cannot pay you to eat lunch.
- Students who choose to eat lunch at the station may use the conference room, if available. Students may not eat at the front desk.
- Students working more than five hours in one session must clock out for a thirty (30) minute break after five hours.
Before you leave:
- Check in with your supervisor and tell him or her that you’re about to leave, and give an update on the progress you’ve made in your work.
- Log into Banner and enter your arrival and departure time, rounded to the nearest 15 minute increment. Training will be provided on the Banner time sheet system.
